Invoice Detective (“we”, “us”, or “our”) operates the Invoice Detective web application at invoicedetective.com. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our service.

When you create an account, we collect personal information through our authentication provider Clerk, including:

  • Authentication credentials (managed securely by Clerk)

Financial Documents

When you use our reconciliation service, you may upload:

  • Invoices (CSV or PDF format)
  • Bank statements (CSV or PDF format)
  • These documents may contain invoice numbers, amounts, dates, client names, and payment references

Usage and Technical Data

  • Log data (IP address, browser type, pages visited)
  • Device information
  • Usage patterns within the application

3. How We Use Your Data

We use your information to:

  • Provide reconciliation services: Match your invoices to bank payments using our AI matching algorithm
  • Authenticate your identity: Verify your account and secure access to your data
  • AI-powered matching: Process your financial documents using our matching engine, including fuzzy matching, batch payment detection, and confidence scoring
  • Improve our service: Analyze usage patterns to enhance our matching algorithms and user experience

4. Third-Party Services

We use the following third-party services to operate Invoice Detective:

Clerk (Authentication)

We use Clerk for user authentication and account management. Clerk processes your email address and authentication data. See Clerk's Privacy Policy.

Google Gemini (PDF Parsing)

Bank statement PDFs are processed using Google Gemini 2.0 Flash AI to extract structured transaction data. Document content is sent to Google's API for processing. See Google's Privacy Policy.

Vercel (Hosting)

Our application is hosted on Vercel. Vercel may process request logs and technical data. See Vercel's Privacy Policy.

5. Data Storage and Security

  • Financial data is stored in a SQLite database with strict per-user isolation — you can only access your own data
  • All data is transmitted over HTTPS
  • We do not sell, rent, or share your financial data with third parties
  • Access to production systems is restricted to authorized personnel only

6. Cookies

We use only essential cookies required for authentication and session management, provided by Clerk. We do not use advertising or tracking cookies. No consent banner is needed as these cookies are strictly necessary for the service to function.

7. Data Retention

  • Active accounts: Your data is retained as long as your account is active
  • Deletion: You may request deletion of your account and all associated data at any time by contacting us
  • Upon account deletion, all your invoices, transactions, and match data will be permanently removed

8. Your Rights (GDPR)

Under the General Data Protection Regulation, you have the following rights:

  • Right of access: Request a copy of the personal data we hold about you
  • Right to rectification: Request correction of inaccurate personal data
  • Right to erasure: Request deletion of your personal data
